During the past year many of our customers have upgraded to SVM 10.0 - the most current release of EasyLobby's Secure Visitor Management.

Although it's not necessary to upgrade to SVM 10.0 - version 9.0 works fine and we fully support it - you may find that there are new features and functions in version 10.0 that will help you better manage visitors at your facilities.

That's why we're devoting this issue of our newsletter to some of the many new features in SVM 10.0.

Remember, if you have a current maintenance contract you can upgrade to versions 10.0 for free at any time. If you are not under maintenance, contact us for pricing on updating your software.

SVM 10.0 - An Overview10_0 CD Cover


 

Like previous versions, SVM 10.0 is able to capture visitor information quickly and accurately by automating the visitor sign in process.

 

This version offers a number of enhancements that, depending on your particular needs, can provide greater functionality and more features to help manage visitors.
 

Here's a list of some of the more significant new features of SVM 10.0:

  • An entirely new version of eAdvance - our web-based employee pre-registration of guests. Some of the new eAdvance features include the ability to specify rules-based approval (see article below) and the inclusion of barcodes in confirmation email

Rules-Based Approval Allows You to Decide How Pre-Registered Visitors Are Approved for Entry
 
One of the more powerful features in the new version of our software is the rules-based approval feature that is part of eAdvance.

This feature gives you a great deal of flexibility deciding how visitors that are pre-registered by employees are approved for entry.


Web-based eAdvance allows selected employees the ability to pre-register guests. Rules-based approval lets you decide how those pre-registered guests need to be approved by others in the organization and what those rules are.


Among the rules that that you can choose in setting up approval process are:
  • Person or persons who need to approve pre-registered visitors
  •  A particular category of visitors that need to be approved for entry
  •  Approvals that are applied to any of the 24 user defined fields

An example of rules-based approval might be a pre-registered visitor who is a contractor and does not have self-ensured documentation on file. In this case, a rule for approval can be applied to all contractors, or only contractors who do not have self-ensured documentation (which would be one of the user defined fields). You specify who in the organization would approve this entry - maybe in this case the head of facilities.
 

Another example might be a pre-registered visitor who is a foreign national and does not have passport identification. As in the previous example, you can apply a rule for this category of visitor to require approval - in this case a foreign national. Or a rule for can be applied to visitors who do not have passport identification - a user defined field. In this case, entry might need to be approved by the head of security.

 

You can see that the rules can be varied and cover many different circumstances for approval of pre-registered visitors. Depending on your needs, and how you want to secure your environment, you can add these rules to better define entry of visitors to your facilities.

Programmable Alerts: Assign Specific Values to Visitors

One of the exciting new features in SVM 10.0 is value based alerts.

These permit you to assign a specific value to visitor action - and to be automatically notified that this action should take place - so that you can manage visitor activity more precisely.

There are a whole range of values that can be assigned to actions, and the following description is only one specific example. The real benefit of this function depends on your particular needs. So here's one scenario, but as you read this example, consider how you might put this feature into action in your environment.

You have four different areas in your building that visitors are allowed access. Each area is defined as a 'clearance' in one of the EasyLobby fields. One of these areas - let's call it the manufacturing area - requires all visitors to wear a hard hat for safety reasons.

In the alert menu of SVM 10.0 you can include a message that reads: "Must wear hard hat" or some words similar to that effect. Now, when a visitor enters the building and is checked in at an EasyLobby station, the operator selects the clearance that pertains to an area of the building.

If the manufacturing area is selected, an alert will appear warning the operator that the visitor must wear a hard hat.

You can then choose to check them in if they accept, or deny them if they will not wear one.

Again, this is just one small example. But you can see from this that there are many different variables that can be used to define values and actions that you want to take to ensure professional visitor management at your organization.

Tech Tip:
Using the New 'Employee Time and Attendance'
Feature in SVM 10.0
 
SVM 10.0 has an enhanced employee time and attendance feature.

In this Tech Tip we will explain the technical aspects of how this works, including how to include an employee on the EasyLobby system and assigning them a prox card or barcoded badge which will allow them to be recorded in the system.

Firstly, you have several choices to create the employee list (with photos) inside SVM. If you already have a list of employee records in a file or in an external database, EasyLobby can import these records using its EmployeeImport utility. This can be done one-time only or EasyLobby can be scheduled to pull the records on an ongoing basis, for example on a nightly basis.

Another option is to create an employee record on the spot when the new employee arrives by clicking the 'Scan to Create Employee' menu option inside SVM. This creates an entire employee record from scanning a driver's license or business card. One additional option to create an employee record is to just create the employee records one at a time by typing the information.

Once you have all your employees on file in EasyLobby, the next step is to give each employee a barcoded badge or proxcard. If you use proximity cards, bring up the employee record on the screen and wave the prox card on the RFIdeas PCProx card reader. The card number represented by the prox card is now assigned to that employee. Give the prox card to that employee to keep for their time and attendance.

To print a barcoded badge for the employee, be sure the employee record is active and click the "print badge" button and the badge prints out to the printer of your choice. Give them the barcoded badge to keep for time and attendance.

Now each employee has a prox card or barcoded badge. Upon check in, the employee can tap the proximity card on the RFIdeas PCProx Reader or scan the barcoded badge by the Metrologic Barcode Scanner to check in or out.

At the end of any time period such as the week or month you can call up a report and export it via a number of formats into other systems.
